Last updated October 28, 2026 · Version 2026-10-28
Freesbe is run by Freesbe, Inc. ("Freesbe", "we", "us"). This policy explains what personal information we collect when you use the Freesbe apps and service and this website, what we do with it, and the choices and rights you have.
The short version
- We collect what it takes to run Freesbe: your account details, what you share in your workspace, and counts and durations of how it's used. Our statistics never include what was said or shared.
- We use it to run Freesbe, keep it secure, bill, and meet the law. We don't sell it, don't share it for advertising, and don't show ads.
- We never use your content to train AI models. AI features send only what each request needs to AI providers who can't train on it either.
- What you post is seen by the people in your workspace, and its admins manage it. The providers who help us run Freesbe handle data only for us, under contract.
- Your workspace's content is stored in the region its admins chose; account and billing details in the United States.
- You're in control: see and change your profile, delete your account, or ask us for a copy of your data, or to correct or delete it, at legal@freesbe.net.
This summary is here to help you read. Where it and the policy differ, the policy applies.
Who's responsible for your data
- Your account, billing and this website: Freesbe decides how this information is used. We're its controller.
- What's in a workspace (messages, files, calls, meetings, recordings, transcripts, contacts): the organization that runs the workspace controls it, and we process it for them, under our Terms of Service and, where it applies, a data processing agreement. If your workspace is run by your employer or another organization, ask them about how they use it; we may pass your requests on to them.
What we collect
- Your account: name, email address, password (stored only as a hash), profile picture, title, status, time zone, working hours and settings.
- What you share in Freesbe: messages, files, channels, reactions, meeting details and chat, and, when someone in your workspace turns them on, call and meeting recordings, transcripts and AI summaries.
- Phone and calls: your phone numbers and line settings, call and text history, voicemail, and the emergency addresses you give us for 911.
- Identity checks: when a workspace buys phone numbers, the business and identity details telecommunications rules require.
- Sign-in with Google or Microsoft: your name, email address and an account ID from them. We don't get your password.
- Connected apps: when you connect a calendar, CRM, help desk or other integration, the data it shares with Freesbe, such as calendar events, contacts or tickets.
- Payments: billing contact, plan and invoices. Card details go straight to our payment processor; we don't store them.
- Agreeing to our terms: which version of the Terms of Service and this policy you agreed to, when, and the IP address and browser you did it from, as a record of the agreement.
- Technical data: IP address, browser and device type, and logs of requests, which we use to keep the service secure and working. From your IP address we also note your approximate location (city and country, about 10 km) and when you last used Freesbe.
- Emails we send you: a copy of each one (with sign-in codes and links hidden), whether it was sent and when it was opened, which we learn from a small image in the email. We keep them for 90 days, so our support team can help when an email goes missing.
- Usage statistics: how many messages, files, calls and meetings each person and workspace has, how long calls, cameras and screen shares are on, call quality, and which AI features they use and how much each request cost. Counts and durations only, never what was said, shared, asked or answered.
- When you contact us: what you send to support, sales or this website's forms.
Why we use it
- To provide Freesbe: sign you in, deliver messages, calls, meetings and files to the people you choose, and run the features your workspace turns on. (Legal basis: performing our contract with you or your organization.)
- To send you email you need: sign-in codes, address checks, invites, meeting invitations, billing and security notices. (Contract.)
- To keep Freesbe secure, stop spam, fraud and abuse, and fix problems. (Our legitimate interest in a safe, working service.)
- To understand how Freesbe is used, so we can plan capacity, set fair prices and improve it, using usage statistics, not content. (Legitimate interest.)
- To bill, keep records and meet legal duties, such as tax, telecommunications and emergency calling rules, and to answer lawful requests. (Legal obligation.)
- To tell you about new features or offers, when you agree or the law allows; you can unsubscribe any time. (Consent or legitimate interest.)
We don't sell your personal information, we don't share it for cross-context behavioral advertising, and we don't show ads.
AI features
When your workspace uses AI features, such as summaries, transcripts, translations, answers or agents, we send the content needed for that request to AI model providers, who process it only to answer it and aren't allowed to train their models on it. We never use your content to train AI models, ours or anyone else's. Workspace admins can turn AI features off.
Who can see it
What you post in a workspace is visible to the people in that workspace or channel, and the workspace's admins manage it. Guests see only the channels they were invited to. Meeting guests see the meeting they joined.
We use providers to run the service. They process data only on our behalf, under contracts that protect it:
- Our cloud hosting and infrastructure providers, for hosting, storage, calls, search, email delivery and bot protection.
- AI model providers, for the AI features above.
- Our payment processor, for subscriptions and invoices.
- Telecommunications partners, for phone numbers, calls, texts, emergency calls and identity checks, when your workspace uses phone features, and WhatsApp, when it connects a WhatsApp number.
- Google and Microsoft, if you choose to sign in with them or connect their calendars.
We also share information with integrations your workspace connects (as you direct), with a buyer or successor if Freesbe is part of a merger or sale (under this policy), and when the law requires it or to protect people from harm. We review legal requests and push back on ones that are overly broad.
Information from Google
When you sign in with Google or connect Google Calendar, we use the information Google shares only to sign you in and to show, schedule and update your meetings in Freesbe. Freesbe's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We don't use it for ads, don't sell it, don't let people read it except with your consent, for security, or as the law requires, and don't use it to train AI models.
Where it's stored
Each workspace's content is stored in the region chosen for it: the European Union or the United States, which are guaranteed, or close to your team in Asia-Pacific or Oceania (see data residency). Account details and billing are handled in the United States. When personal information moves out of the European Economic Area, the United Kingdom or Switzerland, we rely on the European Commission's Standard Contractual Clauses or another lawful transfer mechanism.
Cookies
Freesbe uses one cookie to keep you signed in. This website doesn't use tracking or advertising cookies.
How long we keep it
We keep your data while your account or workspace exists. Workspace admins can set how long call recordings are kept. When you delete your account, we delete it 30 days later (you can keep it by signing in before then), and it's gone from our backups within 30 days after that. Messages and files you shared in a workspace belong to that workspace and stay there under the name "Former member". When a workspace is closed, it stays read-only for 30 days and is then deleted. Either way we keep what the law makes us keep, such as invoices and call records, a record that the deletion happened, and a record of which terms you agreed to and when (without the IP address and browser), for 7 years.
Security
We protect data with encryption in transit and at rest, access controls, required multi-factor sign-in for our staff's tools, logging, and code review for every change. See our security page. Report a vulnerability to security@freesbe.net.
Your choices and rights
You can see and change your profile in the app, and delete your account underPreferences → My account → Account → Delete account (how it works). Workspace admins can export a workspace. To get a copy of your own data, email us.
Depending on where you live (for example in the European Economic Area, the United Kingdom, California and other US states), you may have the right to access, correct, delete or get a portable copy of your personal information, to object to or restrict how we use it, to withdraw consent, and to opt out of sale, sharing or targeted advertising (we do none of these). To use these rights, email legal@freesbe.net. We'll verify your request, answer within the time the law sets, and won't treat you differently for using your rights. An authorized agent can make a request for you with your signed permission. If you're not satisfied, you may complain to your local data protection authority.
Children
Freesbe is for work and isn't meant for children. You must be at least 16 to use it. If we learn we have a child's personal information without the consent the law requires, we delete it.
Changes
If we change this policy, we'll update the date at the top, and tell you in the app or by email before a material change takes effect.
