Data residency
When you create a workspace, you choose where its data is stored. It’s free on every plan.
Choosing a region
Section titled “Choosing a region”Under Where should we store your data? on the page where you name a new workspace, pick a region. Freesbe preselects the one closest to you, so most people can leave it as it is. The regions come in two groups.
Guaranteed to stay in the region
Section titled “Guaranteed to stay in the region”Choose one of these when you need data residency, for example for GDPR or a customer contract. Your workspace’s data is stored only in data centers in that region, and never leaves it.
| Region | Where your data is stored |
|---|---|
| European Union | Data centers in the EU only. |
| United States | Data centers in the US only. |
Stored close to your team
Section titled “Stored close to your team”Choose one of these when your team is far from Europe and the US and you want Freesbe to be as fast as possible. Your workspace’s data is placed in data centers in that part of the world, but it isn’t a residency guarantee: it can be stored elsewhere when needed.
| Region | Where your data is placed |
|---|---|
| Asia-Pacific | Data centers in Asia. |
| Oceania | Data centers in Australia and New Zealand. |
Seeing your region
Section titled “Seeing your region”Owners and admins can see the region under Workspace settings → General → Data region.
What stays in your region
Section titled “What stays in your region”- Messages, threads, reactions, mentions, drafts and scheduled messages
- Search across your messages and files
- Files and images people share, and the workspace logo
- Huddle and meeting recordings, transcripts and AI notes
- Meetings, meeting chat, canvases, and the live state of huddles
- Slack imports
- Backups of all of the above
What doesn’t
Section titled “What doesn’t”Some things work across regions by nature. We list them so there are no surprises:
- Your account. Your name, email address, sign-in details and the list of workspaces you belong to are kept in one place, so you can be in workspaces in different regions with one account. Billing details are kept with your account too.
- Live calls. The audio and video of a call travel through the server nearest to the people in it, and are never stored there. A recording of the call is stored in your region.
- AI. When someone asks for a summary, a translation or AI notes, the text is sent to our AI provider to be processed, and transcripts are made by our speech-to-text provider. Neither keeps it. Admins can turn AI features and transcripts off under Workspace settings → General → AI & workflows and Calls & meetings → Recordings.
- Getting to Freesbe. Your connection reaches the nearest point of our network, wherever you are, before it is passed on to your region. Nothing is stored along the way.
- Services you connect. Push notifications on phones, emails Freesbe sends, payments, phone calls and the apps and integrations you turn on follow those services’ own rules.
Workspaces made before regions
Section titled “Workspaces made before regions”Workspaces created before you could choose a region show Not chosen under Data region. Contact support to move one to the region you want.
Moving to another region
Section titled “Moving to another region”A workspace’s region is set when it’s created. To move it, the workspace owner can contact support. We copy everything to the new region and check it, then switch the workspace over. While it’s being copied the workspace is read-only: everyone can still read messages and open files, but sending, uploading and editing canvases wait. That usually takes a few minutes, longer for workspaces with many hours of recordings. We agree on a time with you first.
Moving is free once a year on the Business and Corporate plans, and whenever you need it on Enterprise.
